Bill practices through Hint
Set up product subscriptions, choose how charges are calculated, and understand when practices are billed.
This guide is for partners who want Hint to collect payment from practices for their product. You configure the subscription in the partner portal. Hint calculates the recurring charges and bills the practice on its renewal date.
Separate listing pricing from billing setup
Your product's Product Listing shows pricing text to help practices understand your offer. That text does not configure charges. For example, writing "$100 per month" in the listing does not create a $100 subscription.
The Subscriptions tab on the product controls the actual recurring charges. Keep the listing text consistent with these settings, including what is counted and any additional charges.
Complete payment setup
Before collecting payments:
- Contact [email protected] to confirm billing is enabled for your product and review your service fee arrangement.
- Open Billing > Payment Processing in the partner portal. Complete and submit the merchant account application, then resolve any requests for additional information. The account must be approved to process payments.
- Configure your product's subscription templates and confirm the pricing before activating practices.
Submitting an application is not the same as receiving approval. Being able to create a charge also does not mean your payment processing setup is complete.
Configure subscription templates
Open Products, select your product, and choose Subscriptions. Select New template, give it a recognizable name, and add the charges that make up the subscription. A template can combine several charges, such as a fixed platform fee plus a per-user charge.
Each charge has a name and one of these pricing options:
| Option | How it works | Example |
|---|---|---|
| Fixed amount | Charges the same amount each billing cycle. | $100 per month for the product. |
| Per seat | Multiplies your rate by the selected count each month. Choose what the charge counts; it is not limited to staff seats. | $2 per active member, or $20 per user with app access. |
| Tiered | Uses the fixed amount for the band containing the selected count. It does not blend rates across bands. | 0-100 active members: $100; 101 or more: $175. A count of 120 costs $175. |
For Per seat and Tiered, choose what to count:
| Count | What it measures |
|---|---|
| Active members | The practice's active-member count for the billing period, using the same count as Hint's practice billing. |
| Users with app access | Users who can open your app. Available for products with an app; you can narrow the charge to a partner role when your app defines roles. |
| Reachable contacts | Patients and prospects the partner can email. This is a different measure from active members. |
Tier ranges must start at zero, continue without gaps or overlaps, and end with an open-ended tier. Leave the last tier's upper limit blank.
Save the template, then choose Make default if it should apply automatically when new connections activate. Without a default template, new connections start with no subscription charges.
Templates are copied into each practice's subscription. Editing a template or changing the default affects future connections; it does not update existing subscriptions. To change an existing practice's pricing, open Practices, select the practice, and use its Billing > Subscription section. Select the product and choose Change to replace the template or edit its charges. A connection without a subscription shows Set amount. Changes take effect today and are reflected on the next bill.

- The practice installs and activates your product. Activation applies the default subscription template, if configured. Installation and activation can be separate steps. See Integration Activation for the available activation flows.
- Billing waits until the practice's launch date. Installing your product does not make a pre-launch practice billable immediately.
- Hint calculates charges on the practice's renewal date. Fixed charges use the configured amount. Per-seat and tiered charges use the selected count for that billing run.
- The practice receives a separate partner invoice. It is generated alongside the practice's Hint invoice, with your partner name on it. The practice pays you through Hint's payment processing. Your charges are not added to Hint's own invoice.
- You review charges and fees in the partner portal. Open Billing > Charges to see the practice, description, amount, and related service fee. The report also offers status, invoice and payment dates, filters, and CSV export. Review Billing > Service Fees for your product's fee setup and Billing > Deposits to reconcile deposits.
Common questions
Does the pricing text on my listing start billing?
No. Configure the subscription separately in the product's Subscriptions tab. A default template automatically prices new activations; existing practices need their own subscription configured or updated.
Can we finish onboarding before activating a practice?
Yes. Choose an activation flow that leaves the connection pending until onboarding is complete. With Partner-activate, your team finalizes activation. With Instant, the practice activates immediately when it installs. Make sure the activation flow matches when you are ready to provide the service and begin its subscription.
We already collect payment outside Hint. Will Hint also bill the practice?
Check the practice's subscription before activating it. A configured subscription through Hint creates charges independently of payments you collect elsewhere. Agree on one collection workflow with Hint to avoid charging twice. Fees you owe Hint under your partner agreement are separate from the price the practice pays for your product.
Are reachable contacts the same as active members?
No. Reachable contacts include patients and prospects eligible for email, so the count can be higher than active membership. Choose the measure that matches your offer and describe it clearly in the listing. Contact Hint if a count appears unexpected before promising a billing adjustment.
Where can we check a charge or ask about a discrepancy?
Start with Billing > Charges and filter to the practice. Review the amount, service fee, and payment status. For a discrepancy, send [email protected] the practice, product, charge date, and expected amount.
